About The Pittsburgh Project:

The Pittsburgh Project is a nonprofit community development organization with a 23-year track record of developing leaders and serving the city’s most vulnerable residents.  Our year-round staff of 60 operates a progressive series of summer and afterschool programs for urban young people, deploys over 2500 people annually to perform free home repairs for Pittsburgh’s in-need elderly homeowners, outfits college students for urban service and leadership, and spearheads economic development and job training efforts in our Pittsburgh neighborhood.

Nature and Scope of the Position

The Volunteer Resources Manager’s role is to lead a large team of motivated, trained volunteers to assist our staff in accomplishing The Pittsburgh Project’s vision and purpose.

1. Volunteer Work Design

  1. Develop volunteer assignments that are meaningful to the work of The Pittsburgh Project and also to prospective volunteers
  2. Design Position Descriptions and training materials for each volunteer position
  3. Work with staff to determine goals/outcomes for volunteers in each area
  4. Create and maintain process maps for all key volunteer management tasks

2. Recruitment

  1. Nurture partnerships with area churches, colleges, businesses and schools
  2. Design and implement recruiting strategies
  3. Screen all potential volunteers before placement in positions

3. Orientation and Training

  1. Warmly welcome each new affiliated volunteer and orient them to the work and vision of The Pittsburgh Project.
  2. Provide all volunteers with an overview of the total organization, clearly explaining their position description, our expectations, schedule, organizational chart, pertinent process maps, and all policies, procedures, rights and responsibilities within their position
  3. Customize training of volunteers to requirements of each position and the background of each volunteer, providing ongoing training as needed

4. Volunteer/Staff Relationships

  1. Provide regular training for TPP staff on the principles, joys and challenges of working with volunteers
  2. Communicate with TPP staff regularly to solve any problems with volunteers

5.  Nurture and Recognition

  1. Regularly thank all volunteers and partner organizations for their efforts utilizing creativity and personal attentiveness
  2. Provide appropriate gifts to each volunteer for service with special gifts for service ‘above and beyond’ the typical involvement
  3. Insure that recognition ‘focal points’ such as bulletin boards and newsletter are maintained on regular basis
  4. Communicate regularly with volunteers to insure their care in our midst

6. Recordkeeping and Reporting

  1. Maintain records on each volunteer, including basic personal information, application, dates and hours served and clearance forms processed
  2. Track the service of volunteer teams throughout the year through attendance, self-reporting and reports from staff
  3. Work with Development staff to coordinated volunteer and donor records
  4. At year end, create summary report of volunteer impact by compiling all
  5. useful data and presenting it to Organizational Development team

7. Evaluation and Volunteer Input

  1. Obtain regular volunteer input and evaluation through group meetings, advisory councils, assessment forms and frequent check-in calls
  2. Communicate with TPP staff regularly to solve any problems with volunteers
  3. Determine outcomes and benchmarks for volunteer management at TPP

8. Staffing

  1. Train and supervise Volunteer Resources Assistant
  2. Design position tasks for assistant
  3. Review assistant’s performance annually

9.  Organizational Responsibilities

  1. Be intentional about building honest, nurturing, and healthy relationships with other members of the staff of TPP.
  2. Attend and participate in weekly staff meetings
  3. Attend staff retreats, and training, service, and social events
  4. Serve the Board as called upon
  5. Additional responsibilities as determined by the Associate Executive Director

Type of Position: Salaried, 40 hours per week

Reports to: Associate Executive Director

Personal Qualifications: The Manager must demonstrate a faithful commitment to following Jesus Christ. He/she must be willing to serve on a team and to affirm the vision, mission and goals of The Pittsburgh Project. This position requires the ability and desire to build relationships with constituents diverse in age, gender, race and economic background. The manager should exhibit a genuine concern for the welfare of volunteers under his/her leadership.

Education:
The Manager should hold a bachelor’s degree in human resources management or a related field.

Experience:
The Manager should have a minimum of five years of experience in working with large numbers of volunteers in a non-profit or ministry-related setting.

Skills:
The Manager should have strong interpersonal and team-building skills. This person should demonstrate a high degree of initiative, creativity and flexibility. He/she should possess strong written and oral communication skills, as well as organizational and problem solving skills.
