Workplace Database and Outreach Coordinator

Position Reports To:

Senior Vice President, Special Projects

The Allegheny Conference on Community Development is a non-profit organization dedicated to providing private sector leadership to grow the economy and improve the quality of life of the ten-county Pittsburgh region.  Together with its affiliates, the Pennsylvania Economy League of Southwestern Pennsylvania, LLC, the Greater Pittsburgh Chamber of Commerce, and the Pittsburgh Regional Alliance, the Conference focuses on creating a more competitiveness business climate and marketing the Pittsburgh region for investment and job creation.

OBJECTIVE


This position provides comprehensive database and systems management support as well as targeted company outreach for the Conference’s Workplace agenda and its project team.  This is a temporary position for a period of up to 18 months.

PRIMARY RESPONSIBILITIES

  • Oversees and maintains specific databases, online resources, electronic and paper files and ensures accuracy and usability of data and other pertinent information. Responds to partner and key constituency inquiries and requests related to data and initiates communications with these partners as needed to ensure accuracy of activity reports and data. 
  • Serves as outreach coordinator to support identification and communication with a wide range of businesses for the purpose of engaging industry contacts in specific Workplace initiatives.    
  • Facilitates Committee meetings as appropriate including coordination of agendas, informational fact sheets, meeting minutes, and other pertinent materials.  Represents the organization among membership and stakeholders in the region.
  • Balances multiple priorities, working independently or participating as a part of a cross-functional team, keeping others informed through clear written and verbal communication, while maintaining a high level of productivity.
  • Manages incoming and outgoing communications (written, verbal and electronic).  Drafts letters, memoranda and reports as requested.  Manages logistics and prepares presentations for numerous external and internal meetings.  Presents information to internal and select external audiences.  Prepares/formats correspondence and reports on regular basis.  Routes and responds to correspondence. 
  • Tracks project budgets and reports and processes invoices and internal forms as needed.
  • Assists in researching interests of key constituents and develops approaches that take these interests into account.
  • Responds to staff, partner and key constituency inquiries and requests via telephone, written and electronic communication.  Initiates communications with these parties as appropriate.
  • Schedules appointments, coordinates meeting and manages travel arrangements for program priorities as appropriate.
  • Contributes to the efficiency of the organization by performing other duties and participating in special projects, as assigned.

SKILLS & EXPERIENCE


Education:

Undergraduate degree required.  

Knowledge:

Familiarity with public policy process, economic and community development issues and civic agency operations.
Excellent grammar, spelling and punctuation.
Research and data management systems and techniques.

Experience:

Demonstrated relevant work experience in public/private sector.

Skills:

Ability to work independently and with discretion.
Organizational, communication and project management skills sufficient to independently establish priorities and use sound judgment in carrying out multiple assignments in a timely manner.
Detail oriented.
Excellent interpersonal skills; ability to interact diplomatically in high-energy setting, establishing and maintaining cooperative working relationship with a wide range of individuals.
Proficient in MS Office suite and database software.
